Email notifications on offers and bids
The types of notifications sent to the users of Roolz transportation platform: about bidding modes, offers and bids.
We've added simple and clear email notifications so you don't miss important events related to your offers and bids and can respond promptly.
Important! Notification emails may end up in "Spam" or "Promotions" folder due to your email's corporate settings. Mark emails as "Not spam" to receive them in your Inbox.
All emails regarding offers and bids are sent from [email protected]. Each email has an option to unsubscribe.
How notifications work:
Each email always contains a section with information about the specific offer. Email notifications are only sent to the user responsible for the following:
The offer β the email is sent to the user assigned by the offer manager (not to all company users);
The bid β the email is sent to the user responsible for that bid (i.e. the one who created and is managing it).
An exception is private offers. When sending a private offer (for freight or transport) to the partner, all users of the recipient company receive an email notification, not just the responsible user.
The email content language is selected automatically:
if RU is specified on your profile, the message will be sent in Russian;
if any other language is specified, the message will be sent in English.
Email notifications on your offers (if you are responsible for the offer)
You will receive an email if:
The winner has not confirmed their bid within the specified timeframe. If the winner fails to confirm their bid within the specified timeframe, the bid will be automatically rejected. You will receive an email and will be able to select a new winner.
The winner has confirmed their bid (an email is sent for all bidding modes except for Fixed with "book now" feature selected). You will receive an email when the selected contractor has confirmed their bid and is ready to work. After this, you will need to confirm the deal.
The winner has cancelled their bid. If the carrier/forwarder you selected cancels their bid, you will be immediately notified and can select another winner.
A new bid has been placed on your offer. You will receive an email when a new bid from a carrier/forwarder has appeared for your offer. The email will include the amount, VAT type and carrier name so you can accept the bid or wait for the other bids.

Email notifications on your bids (if you are responsible for the bid)
You will receive an email if:
Your bid has won (sent in all bidding modes except for Ad and Fixed mode with "Book now" feature selected). You will receive an email if your bid wins. You must confirm your intention within the specified timeframe, otherwise another participant will be selected as the winner.
Your bid has been accepted You will receive an email once your bid has been accepted. This means the shipment has been confirmed.
Your bid has been rejected You will receive an email if your bid has been rejected for any reason. A bid may be considered rejected in the following cases:
the bid lost, i.e. the bidder selected a different bid;
the offer owner manually rejected your bid;
you were selected as the winner but failed to confirm your bid within the confirmation deadline.
Email notifications regarding outbids in Auction mode
You will receive an email notification if another participant has offered a better bid in Auction mode and your bid is no longer the best.
Important! In this case, your bid is not rejected. Only its competitive status changes, i.e. there is now a bid with a better price in the auction.
This is especially important in Auction mode, as the winner is determined automatically based on the best price.
You'll see your bid value and freight information in the email, and you can immediately place a new bid if you want to continue bidding in the auction.
Email notifications regarding a lost bid (in Bargain, Auction and Fix modes)
You will receive an email notification if the bidding time has ended and your bid has been defeated by another bidder (i.e. another bid has won).
The notification is sent for the following bidding modes: Bargain, Auction and Fix.
The email will indicate your bid value and the freight you bid on. This allows you to immediately see that the bidding has ended and that another bidder has been selected as the winner.
Email notifications on private offers
When sending a private offer (for cargo or transport) to the partner, all users of the recipient company get an email notification about the new offer.
This helps your partner to immediately see the private offer and start working quicker.

Email notifications regarding the prolongation of the Auction when the winner has been selected
In Auction mode, a situation may arise where the bidding is extended.
If a winning bid is returned to bidding status, an email notification is sent to the user, which placed that bid.
This means that the auction has been extended and your bid is again included in the auction along with other bids.

Email notifications regarding automatic matching of cargo and transport
If you have an email address specified as your account login method and you have published public offers, for which the system has found matches, you will receive special email notifications about suitable offers.
Automatic matching notifications are not sent for private offers.
In the future, you will be able to choose, which email notifications you want to receive in your settings.
There are 2 types of such notifications:
Suitable offers found immediately after publication.
You will receive an email as soon as your offer receives its first match after publication.
This email is sent separately for each of your offers if matches are found. The email displays one offer that matches your published offer.
Daily selection of suitable offers.
If you published offers and matches have been found, you will receive a daily email with the selection of suitable offers.
Up to 10 matching offers are displayed in a single email. Offers are sorted from the most recently published to the oldest ones.

We recommend checking your email frequently while using Roolz platform to ensure you don't miss anything and stay up-to-date.
